Objective:
This SOP outlines the complete photography workflow for events — from pre-event venue scouting, equipment checks, and planning key shots to capturing sponsor branding, awards, speakers, panels, and overall setup. It ensures clear, well-lit images with attention to detail on branding and key moments. A curated set of highlights is shared during the event, followed by organized post-event delivery of photos, videos, and media bytes.
Team Involved:
Social Media, Operations Team, PR Team, Conference Producers
Pre-Event Preparation
- Arrive 1 hour before the event to scout the venue, test lighting, and plan angles.
- Check all equipment (camera bodies, lenses, flash, batteries, memory cards).
- Coordinate with the event coordinator to understand the event flow and key moments.
During the Event – Mandatory Shots
Sponsor Branding:
- Capture clear shots of all sponsor logos and branding (Standee, etc.).
- Include sponsor logos on stage, standees, backdrops, videos played on screen, and at the registration desk.
- Take multiple angles and crowd interaction shots near branded areas.
Award Moments:
- Capture individual award handovers with presenter and recipient in the frame.
- Get close-up and wide-angle shots, ensuring clarity and expression.
- Take a follow-up posed photo with the recipient holding the award.
Award Trophies:
- Take detailed photos of the trophies before the ceremony—clean, well-lit, and on display.
- Shoot from multiple angles: front, angled, and close-up of text/logo.
- Capture the trophies arranged on the table and during handover.
Individual Speaker Candids:
- Capture candid shots of all individual speakers while presenting, interacting, and off-stage.
- Highlight personality, expressions, and engagement.
Panel Discussions:
- Ensure group photos of all panelists are taken with everyone visible and well-lit.
- Include photos of interaction between panelists, moderator, and audience.
Keynote Speaker:
- Capture the keynote speaker with the presentation screen visible in the background.
- Avoid only zoomed-in portraits—context matters.
- Ensure screen content is legible and well-exposed.
Event Setup & Printables:
- Photograph the full venue setup before audience arrival—stage, seating, lighting.
- Include all printables: agenda, backdrops, directional signs, table cards.
Overall Event Branding:
- Document all event-specific branding throughout the venue.
- Take wide shots showing branding in the context of the crowd.
Bright and Clear Photos:
- Maintain consistent exposure—no dull photos.
- Use external flash where needed and avoid underexposed frames.
- Prioritize natural skin tones and vibrant colors.
Screen Quality:
- Avoid pixelated screens in shots—adjust shutter speed, ISO, and angles.
- Time shots to match key slides or moments on screen.
- Share a curated set of 20–30 highlight images during the event for social use.
- Networking photos
Post-Event Delivery
- Share separate folders for: branding, awards, trophies, speakers, panels, venue, candid moments.
- Share the videos and media bytes (edited if possible)
